1. Scope of this Policy

This Policy applies to personal information collected through our public website and related marketing, scheduling, and business-development activities. It does not replace the confidentiality, data-security, or processing terms in a client engagement letter, master services agreement, statement of work, or other written agreement. When Beankeeper processes personal information on behalf of a client, the client generally determines the purposes and means of that processing, and the applicable client agreement controls.

Our public website forms are not designed to receive sensitive financial or identity information. Please do not submit Social Security numbers, taxpayer identification numbers, bank or payment credentials, account numbers, payroll files, tax records, or other confidential financial records through a public website form.

2. Notice at Collection

At or before collection, we may collect the following categories of personal information: identifiers and contact information; professional or business information; communications and inquiry details; appointment information; internet or other electronic activity; device identifiers; and approximate location inferred from an IP address.

We use this information to respond to requests, schedule consultations, operate and secure the website, understand website performance, improve our services and content, communicate about Beankeeper, comply with law, and protect our rights. We retain each category only for as long as reasonably necessary for these purposes, including legal, security, recordkeeping, and dispute-resolution needs.

We do not sell personal information for money. If analytics or advertising technologies enabled on the website involve a "sale," "sharing," or use for targeted advertising as those terms are defined by applicable law, you may opt out as described in Sections 5 and 10.

Information collected automatically

When you use the website, we and our service providers may automatically collect IP address, browser and device type, operating system, referring and exit pages, pages viewed, links clicked, date and time stamps, cookie or similar identifiers, approximate location derived from IP address, and information about how you interact with the website.

Information from other sources

We may receive business contact information from referrals, professional networks, service providers, publicly available sources, event organizers, and business partners. We may combine that information with information collected through the website.

4. How We Use Personal Information

• Evaluate whether Beankeeper's services may fit a prospective client's needs and prepare proposals or engagement materials.

Where applicable law requires consent, we rely on consent. In other circumstances, we may rely on steps requested before entering a contract, performance of a contract, compliance with legal obligations, or our legitimate interests in operating and growing a secure professional-services business.

We do not sell personal information for monetary consideration. If optional analytics or advertising technologies create a disclosure treated as a sale, sharing, or targeted advertising under applicable law, the affected information may include identifiers, device information, and internet activity, and you may exercise the applicable opt-out right.

7. Information Connected to Client Services

Beankeeper provides fractional finance department services, which may include bookkeeping, controller, financial planning and analysis, and fractional CFO support as specified in a written engagement. Client-service data may include financial, vendor, customer, workforce, and transaction information. That information is not collected for general website marketing purposes and is handled under the applicable engagement documents, client instructions, and legal requirements.

If you submit a privacy request concerning information Beankeeper processes solely for a business client, we may direct the request to that client or ask you to contact the client directly.

8. Data Retention

We retain personal information for no longer than reasonably necessary for the purposes described in this Policy. The retention period depends on the nature of the information, our relationship with you or your organization, the length of a sales or service cycle, security and fraud-prevention needs, legal and accounting requirements, and the need to resolve disputes or enforce agreements. When information is no longer needed, we delete, de-identify, or securely dispose of it, subject to lawful exceptions.

Marketing suppression records. If you opt out of marketing, we may retain limited information needed to honor the opt-out.

Backup and legal holds. Residual copies may remain temporarily in backups or longer when preservation is required by law or a legal hold.

9. Data Security

We use administrative, technical, and physical safeguards designed to protect personal information in light of its nature and the risks involved. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please use approved secure channels provided during a client engagement for confidential financial records and credentials.

10. Your Privacy Rights and Choices

Depending on where you live and subject to legal exceptions, you may have the right to request access to personal information, obtain a copy, correct inaccuracies, request deletion, request portability, opt out of sale, sharing, or targeted advertising, limit certain uses of sensitive personal information, withdraw consent, or appeal a decision on a privacy request. You may also opt out of marketing emails at any time by using the unsubscribe link in the message.

To submit a request, email support@beankeeperinc.com with the subject line "Privacy Request" or write to the address in Section 15. Describe your request and provide enough information for us to locate the relevant records. We may verify your identity and authority before fulfilling a request. We will respond within the period required by applicable law and will not discriminate against you for exercising a legally protected privacy right.

An authorized agent may make a request where permitted by law. We may require proof of authorization and may also ask the individual to verify identity directly. To appeal a denied request where an appeal right applies, reply to our decision and state that you are appealing.

11. Supplemental U.S. State Privacy Disclosures

In the preceding 12 months, the categories of personal information collected through website and business-development activities may have included identifiers and contact information; professional or employment-related information; internet or electronic activity; approximate geolocation derived from IP address; and communications or inquiry information. Sources include you, your browser or device, referrals, service providers, professional networks, and publicly available sources.

These categories are used for the purposes described in Section 4 and may be disclosed to the recipients described in Section 6. We do not knowingly sell or share the personal information of individuals under 16 years old. Our public website is not intended to collect sensitive personal information, and we do not use sensitive personal information submitted through the website to infer characteristics about a person.

12. International Visitors

Beankeeper is based in the United States. If you access the website from outside the United States, your information may be transferred to, stored in, and processed in the United States or other countries whose privacy laws may differ from those where you live. We use a lawful basis and appropriate transfer safeguards where required. You may have the right to complain to a local data-protection authority.

13. Children's Privacy

The website is intended for business users and is not directed to children under 18. We do not knowingly collect personal information from children through the website. If you believe a child has provided personal information, contact us so we can take appropriate action.
